Team structure and roles
For most in-house marketing teams, the recommended structure is: 1–2 Admins (marketing manager or social media lead) who control settings, approve content, and manage the overall workspace. Multiple Restricted Users (content creators, community managers, designers) who create and schedule content within the boundaries you define.
Set up team members from Settings → Team Members and assign roles based on responsibility level.
Setting up approval workflows
Set Contributor access to Publishing for any team member whose posts should be reviewed before publishing. Admins receive a notification when a post is pending review.
From the Calendar → List view → Post in review, Admins can review, approve, request changes, or reject submitted posts. This is especially useful for junior team members or new hires who are still getting up to speed with brand voice guidelines.
Shared content calendars
Every team member with access to a Profile Group sees the same content calendar. Content creators can see each other’s scheduled posts, which prevents duplicate content and helps coordinate campaigns. Use the Calendar to get access to the team’s shared view. Filter by profile or team member to focus on specific channels or workstreams.
Analytics and reporting for teams
Use the Analytics section to monitor post performance, audience growth, and engagement across all your connected profiles. For internal reporting, like sharing results with your CMO, leadership team, or department head, use Reports to generate polished, exportable summaries.
You can schedule reports to be emailed automatically on a weekly or monthly basis so key stakeholders always have current data.
