Vista Social is purpose-built for agencies managing social media for multiple clients. The platform’s Profile Group model maps directly to your client roster, and built-in tools for approval workflows, custom permissions, and client reporting make it easy to run a professional operation.
This guide walks you through the recommended agency setup from day one.
In this article:
- Setting up client Profile Groups
- Scoping team access per client
- Enabling approval workflows
- Client reporting
Setting up client Profile Groups
Create one profile group for each client you manage. Name each group after the client (for example, "Solana Travels") and connect only that client's social profiles within it. This keeps each client's content, analytics, and reports completely separate from the others.
To create a group, go to Quick add → Add a profile group. See how to add a profile group to your account for a full walkthrough.
Scoping team access per client
When you invite team members, you choose which profile groups each person can access. This keeps clients siloed. For example, a junior social media manager working only on Client A shouldn't be able to see Client B's content.
To restrict access:
- Go to Settings → Team members.
- Click Edit next to the team member.
- Under Restricted access, click Change access.
- Select only the profile groups they should see.
Enabling approval workflows
If a client wants to review and approve posts before they go live, use the shared calendar to route scheduled posts for approval.
To require review of a team member's posts, set their role to Post Contributor. You can do this when you first add them to the team, or later under Settings → Team members.
- Posts created by a Post Contributor are automatically held in Pending Approval status until an Admin reviews them.
- Admins get a notification each time a post is waiting for review.
Client reporting
Generate branded performance reports for each client from the Reports section.
- Reports can include your logo if you're on a white-label plan.
- Export as a PDF, share a live report link, or schedule reports to send automatically by email.
To get started, go to the client's profile group, then click Reports.
