If you want to have clients/colleagues review posts without inviting them as team members, you can do so by modifying your approval workflow and then using a Shared Calendar with them.
How to schedule posts that can be reviewed without logging in
1. Create an Approval Workflow and mark the step for your client/colleague as a Shared calendar.
2. After creating your post, click the Assign button. Then, select Assign to workflow and choose the workflow you created. Click Assign, then Schedule.
3. In your Publishing Calendar, click the Export icon and choose Share.
4. If you'd like viewers to see all posts in review, including ones that aren't at their approval step yet, turn on Show 'In review' posts regardless of workflow stage.
Important We recommend this be turned off to avoid confusion with clients/external reviewers when it's not their turn to approve posts yet. |
5. Optionally, you can also choose a date range for the posts, set an expiration date for the link, and add a password for additional security.
You can also turn on Auto delete once expired to have Vista Social automatically delete the shared calendar link once it reaches its expiration date.
Important Be careful when enabling Auto delete once expired. Once the link expires, it will be permanently deleted and cannot be retrieved. If you still need access to the calendar or its approval history after that point, you'll need to create a new shared calendar link. |
6. The shareable link will then appear for you to copy and send to those you want to give it to.
7. When a client or colleague accesses your shared calendar link, they can approve or reject posts in review and leave a note with it. We'll just ask for their name/email so you can track who reviewed the post.
How to leave a comment on a shared calendar (for viewers)
If someone shared a Vista Social calendar with you, you can comment on their posts without logging in. Your comments go straight to the team that shared the calendar.
How to comment on a post
1. Open the shared calendar link and click the comment bubble at the top right of the post.
2. Type your comment. To add an image or video, click the paperclip icon below the comment box.
3. Click the send arrow. You'll be asked for your name and email address so the team knows who left the comment.
Good to know
- You'll only see a comment box if the person who shared the calendar has allowed comments. If you don't see one, ask them to turn it on.
- You'll see the comments the team has shared with you on each post. Their internal notes aren't visible on the shared calendar.
- Images and videos you attach stay with your comment.

Note Sharing a calendar with someone? To check what they'll see, open the link in a private or incognito window. If you open it while logged in to Vista Social, you'll see your team's view instead. |
Frequently Asked Questions
Q: Does my shared calendar link limit also affect the number of people I can share it with?
A: No. The limit only applies to the number of shared calendar links you can create, not how many people you can share them with.
You can send the same link to as many users as you want. Your plan’s limit only applies to how many unique links you can generate.
Q: If I turn on Auto delete once expired, can I get the link back after it expires?
A: No. Once the link expires with this setting on, it's permanently deleted and cannot be recovered. You'll need to create a new shared calendar link if you still need to share the calendar.
Q: Can shared calendar viewers see our internal comments?
A: No. Viewers only see external comments. Internal comments are only visible to your team inside Vista Social.
Q: Can viewers tag @Vista in comments on a shared calendar?
A: No. @Vista is only available to your team inside Vista Social. Shared calendar viewers can leave comments, but they can't tag Vista.
